Accommodation
A single hotel room with breakfast included will be allocated to you by the organizing team.
Detailed information will be provided a few weeks prior to the event. If you require any specific assistance, you will be able to indicate it in the dedicated form.
Details regarding your accommodation (hotel name, address and practical information) will be communicated a few days before the event.
Personal expenses as well as any potential material damage are not covered by the company.
They remain at your own expense and must be settled directly with the hotel at the end of your stay.
Information regarding parking (availability, conditions and any potential fees) will be specified when the details of your accommodation are communicated.
Participants traveling by car will also receive a dedicated email indicating recommended parking options, addresses, as well as the time they are expected to arrive and the time they can plan to leave the event.
As the event is strictly professional, the presence of family members or friends is not permitted.
Please indicate any specific needs in the registration form so that appropriate accommodation can be arranged and suitable support provided throughout your stay.
If you are in a relationship with another participant attending the event and wish to share a room, please indicate this in the registration form.
Your request will be reviewed by the organizing team.

All submissions will then be reviewed by the organizing committee.
A response will be communicated to you, whether positive or negative, after the selection phase.
The results of the Call for Papers will be communicated a few weeks after the submission deadline.
You will be informed of the decision regarding your proposal by email.
Registrations will open a few weeks before the event. They must be completed using the dedicated link you will receive by email.
This depends on the regulations in force in your country.
We encourage you to contact your HR department to learn more about any applicable recognition or validation procedures.
All workshops and plenary sessions are simultaneously translated into French and English.
Leading a workshop or a plenary session requires proficiency in either French or English in order to ensure the quality of discussions and simultaneous interpretation.
Proposals in other languages unfortunately cannot be accepted.
Yes. An official presentation template will be shared with you once your topic has been approved.
Its use is mandatory in order to ensure visual and editorial consistency across all sessions.
Plenary speakers commit to:
using only the official presentation template provided,
submitting their final presentation XX days before the event,
reporting to the control room XX minutes before the start of their session in order to carry out the necessary technical checks.
These guidelines are essential to ensure the smooth running of the sessions.
You can already access content from the first two editions of Excellence In Motion on the Eqwal Education platform.
Content from Excellence In Motion 3 (replays and presentation materials, depending on the sessions) will be made available after the event.
Transportation
Your flight tickets will be sent to you two weeks before the event.
They will be emailed to you and will also be available for download in the Excellence In Motion app.

No. For organizational, coordination and safety reasons, all transportation is managed exclusively by the organizing team.
Tickets purchased individually will not be eligible for reimbursement.
It will not be possible to travel with an expired identity document. Please make sure that your passport or identity card is valid and will remain valid for the entire duration of the trip.
In some countries, a minimum period of validity after the return date may be required.
If your identity document is currently being renewed, you will be able to indicate this in the form and send us a copy by email at a later stage.
The required documents (national ID card, passport, visa if applicable) depend on your country of departure and nationality.
It is your responsibility to verify the required travel formalities and ensure that your travel documents comply with the applicable regulations.
Evenings
When registering, a dedicated field allows you to indicate your dietary restrictions and specific requirements (allergies, special diets, personal or religious preferences, etc.).
This information will be taken into account by the organizing team and service providers as far as possible.
The dress code is Business Casual for the entire event, including the Partners’ Night.
For the Gala Dinner, Chic attire is required. We recommend avoiding stiletto heels (as some surfaces may not be suitable) and bringing a jacket or shawl.
You can find all practical information here: Practical Information.
Transfers to the venue of the Tuesday evening event will be provided by buses arranged by the organizing team.
Departure times and pick-up points will be communicated before the event.
This information will also be available in the app, with a notification sent before the evening and a reminder approximately 10 minutes before the buses depart.
As the event is strictly professional, participation is limited to registered attendees, exhibitors and partners.
Family members, friends or any external persons are not permitted to attend the event.

Most hotels are located within walking distance of the Convention Center.
For accommodations located further away, shuttle services will be provided at key times during the event.
Practical information will be shared prior to the conference.
